How to import a bank statement into TallyPrime
Importing bank transactions into TallyPrime is easiest when the statement is first converted into structured data and checked before posting. A review-first workflow helps prevent wrong dates, duplicate entries and incorrect ledger names.
What you need before starting
- The bank statement PDF and its password, if encrypted.
- The correct bank format or a close matching format.
- The Tally company and bank ledger name that should receive the entries.
Four-step workflow
1. Select the bank format
Choose the bank that issued the statement. Bank PDFs can use different column names and date layouts, so selecting a matching format improves extraction quality.
2. Upload and unlock only when needed
Upload the PDF. If the file is encrypted, enter its password when prompted. A normal PDF should continue without displaying a password field.
3. Review the transactions
Check the transaction date, value date, narration, debit, credit and balance. Search for long narrations, opening balances, bank charges and duplicate rows.
4. Export and import XML
Download the Tally XML after review. In TallyPrime, open the import workflow, choose the XML file and confirm the company and ledger mapping before accepting the vouchers.
Common mistakes to avoid
- Importing without checking the selected bank format.
- Using the wrong bank ledger or suspense ledger.
- Ignoring opening balance and duplicate transactions.
- Assuming every PDF needs a password.
